Five
Information Management Reminders
By: Tracy Campbell, CEO,
Simplicated™
LLC
January is a terrific month to revisit information
management processes. A few simple strategies go a long
way towards decreasing stress and boosting workflow
productivity. Here are 5 to consider:
-
Review your paper, electronic and email filing
systems to archive or toss files you no longer
access. Divide the task into smaller chunks if you
have a large volume to evaluate.
-
As your business culture allows; process email in
batches once, or at the most two times during the
day. This goes along way toward diminishing the
constant distraction that email can provoke.
-
Retrieve phone messages at a point in the day when
you are able to readily triage them. Treat them as
you would a paper message; discard any that do not
require action, delegate those someone else can
handle and determine when to complete any action
associated with the remainder. If the associated
action will take two minutes of your time or less;
just do it!
-
Make decisions about email, voice mail and all forms
of paper or electronic information you receive as
you receive them. Clutter is postponed decisions™;
Start making decisions now freeing your space and
your mind.
-
When naming electronic files, choose names or sets of
words that clearly identify the project, topic or
document. Use a naming convention which includes
the date, this supports effective tracking of
multiple versions of the same document. Avoid
vague descriptors (i.e. New, Draft, Final,
Proposal…Stuff)

A Very Bright Future: How to
Prolong Your Projector’s Lifespan
By: Tony Sprando, Audio Visual Presentations, Inc.,with special credit to Jennifer Andrews
Taking proper care of your audiovisual investments
generally makes them last longer and might even help
them perform better over their lifespan. Here are a few
suggestions for proper care and maintenance of your
video projector.
INSTALLATION & FILTER MAINTENANCE
Change the projector filter as directed.
The primary maintenance requirement for a video
projector is changing or cleaning the filter. Clean
filters allow the projectors to stay cool, which is
critical for keeping them healthy.
Install your projector in a cool, dry place.
As mentioned above, it’s crucial to your projector’s
health that it’s able to remain relatively cool. It
should be installed in a location where there’s adequate
room for air to flow through its vents.
If your projector is mounted to the ceiling, be sure
the area near the intake fan on the projector isn’t in
the direct path of air conditioning or heat vents. For
best results, keep your projector at least two feet away
from walls and exhaust vents.
GETTING THE MOST FROM YOUR LAMP
The life of your lamp will vary based on a number of
factors, including proper use, efficiency of air intake
and regular filter cleaning.
After you’ve powered on your projector, wait at least
five minutes before turning it off or unplugging it.
This will allow the fans inside the projector to
properly cool. This is even more important in a portable
unit, as it might be put away soon, where it will have
even less air flow.
Run your projector for two weeks and/or 20 hours
shortly after your purchase.
If the lamp is going to fail, it will usually occur
within the first 10 hours of operation. Lamp warranties
typically last just 90 to 180 days from the date of
purchase vs. installation, so this test will ensure the
warranty will cover any lamp failure. However, some
manufacturers offer lamp warranties as long as one year,
or 500 hours.
CARING FOR YOUR LENS
Your lens won’t require much maintenance; however, for
the best-looking projected images, you should keep your
lens clean. All you need is a lens cloth, which can be
purchased from a local camera store. In fact, you might
already have a lens cloth from a recent purchase of a
digital camera or eye glasses.
There’s really very little maintenance required for a
projector, but that small amount of attention can make a
big difference in the life of your projector!
